Terms and Conditions

Thank you for choosing to stay with us at Port Germein Caravan Park. Please take the time to read through our Terms & Conditions. By booking at Port Germein Caravan Park you are entering into a contract and agree to abide by the terms and conditions as detailed below.

TERMS AND CONDITIONS

Bookings

    • Guests are responsible for checking their booking details.  Those named on the booking are responsible for all persons on their site during their stay, including visitors.
    • A booking cannot be made for or by any person under the age of 18 years. A responsible adult must accompany such persons. Proof of age may be requested.
    • The number of people booked for a cabin must not exceed the number of beds available.
    • The tariff quoted for cabins include linen for each bed booked and paid for.
    • Children under 5 are free for sites only. There will be a charge for all ages in cabins with the exception of where a cot is required and provided by the guest.
    • All reservations require a deposit to be paid at the time of the booking. Without a deposit, we are unable to make you a reservation. The minimum deposit payable is equal to one night’s stay.
    • All balances of booking are to be paid on check-in.
    • All pets entering the park must be advised at the time of booking. A maximum of 2 pets per site is permitted.
    • Peak Period Bookings – which include school holidays, long weekends, Easter, Christmas and major events – a 50% deposit is required. A major event is any event determined by us.
    • Minimum 2 nights booking applies for Peak Period bookings.
    • Group bookings are welcome at Port Germein Caravan Park Parks, though please note that deposit amounts will vary depending on the total of your booking cost. To discuss your group booking, please contact us directly. All group bookings require full payment 7 days prior to check in.
    • All prices quoted are in Australian dollars and are inclusive of GST and are subject to change without notice due to seasonal and other variations.
    • Prices are based on 2 persons occupying a cabin or site. Extra person rate applies for each additional person.
    • Payment is accepted by cash, Visa, MasterCard or EFTPOS.
    • Special Requests/Allocations are on a request basis only and are not guaranteed at the time of booking. Due to variations to reservations and /or site allocations no site or cabin can be guaranteed.

We reserve the right to refuse a booking at any time from any person reasonably believed to:

    • Not be the person named on the booking request.
    • Not be the person named on the credit card or be authorised to use the card.
    • Not be able to pay for any charges.
    • May cause damage to the property of the Port Germein Caravan Park or other guests.
    • May exhibit socially unacceptable behavior.
    • Be younger than 18 years and not accompanied by a responsible person over that age.
    • Be concealing a pet or other unauthorised animal.

Check-in

We look forward to welcoming you at our park at the below times (unless previously agreed otherwise with you in writing).

    • Sites – Check-in: 12pm
    • Cabin – Check-in: 2pm
    • You must report to the park office and sign in on arrival.

Late Check-in

    • Office hours are 9am-7pm October – March and 9am – 6pm April – September. Guest arriving outside of these times must contact the park during office hours to make alternate arrangements.
    • Guests who fail to arrive on the designated day or who arrive after office hours and have not made alternate arrangements will forfeit the cost of the first night.

Check-out

    • All rooms and sites are to be vacated by 10am on the day of your departure.
    • Early departures: should you wish to check out before the office opens, please notify reception and place your keys in the key box outside of reception before you depart.
    • If you would like to extend your stay please do so before 5pm the preceding day.
    • Extended bookings are dependent on availability
    • A night’s tariff will apply for late departure unless otherwise arranged

After Hours

Our Manager’s reside on-site and are available 24 hours a day in the event of an emergency.

Cancellations

Cancellations are to be made at the earliest possible time by phone (08) 8634 5266 or email reception@portgermeincaravanpark.com.au

    • Cancellations for bookings outside of peak periods can be made up to 3 days prior to your scheduled booking date. You are entitled to a full refund of your deposit, less a $25.00 administration fee (per site/cabin) provided a minimum of 3 days ‘notice is given.
    • If you provide less than 3 days’ notice of your cancellation, your deposit will not be refunded.
    • Cancellations for bookings made for PEAK PERIODS (Christmas, Easter, School Holidays, Long week-ends and selected events) can be made up to 21 days’ prior to your scheduled booking date. You are entitled to a full refund of your deposit, less a $30.00 administration fee (per site/cabin) provided a minimum of 21 days‘ notice is given.
    • If you provide less than 21 days’ notice of your PEAK PERIODS cancellation, your deposit will not be refunded.
    • No changes and/or cancellations will be accepted to any booking made through any third-party website
    • No refunds will be given for cancellations due to inclement weather or other circumstances beyond our control.
    • No refunds will be given for cancellations or early departures once you or your party has arrived at the park.
    • We may refuse entry into the park for any reason we determine at our discretion. A full refund will be given if this occurs.

Health Alert (e.g. COVID -19 Cancellations)

If a State or Commonwealth directive is issued which means you are no longer able to travel to or from your destination and not withstanding rights under Consumer Law, guests will have the option to select a new date for their existing booking or accept a credit valid up to 12 months should any of the following criteria impact their planned stay. Any difference in booking value will be adjusted accordingly.

Evidence will need to be provided to utilise the Health Cancellations policy. A guest must:

    • Email or phone the Port Germein Caravan Park directly to request a change to booking dates or a credit for a future booking in relation to the Health alert cancellation policy.
    • Provide proof of COVID-19 or as applicable – ie. a doctors certificate

Any cancellation which is deemed not applicable to the Health Alert cancellation policy will be covered by the standard terms and conditions and no refunds will apply. Including:

    • You no longer wish to travel due to Health Alert concerns, this is treated as change of mind
    • Cancellations or early departures once you or your party has arrived at the park.

Cabin/Site Conditions

    • The number of people accommodated in each cabin must not exceed the number of beds available.
    • As per Australian standards top bunks and elevated beds are considered dangerous and not recommended for children under the age of 9, as such children under the age of 9 years are not permitted on top bunk beds and in the interest of safety children must not to play on bunks.
    • All cabins are strictly non-smoking. Smoking inside a cabin will incur a cleaning fee of $200.00. Smoking is permitted on cabin verandahs’ and ashtrays are provided outside every cabin.
    • No smoking is allowed in any communal areas or building, by law it is prohibited to smoke inside or within 5metres of any public building.
    • Pets are strictly prohibited from all cabins, park buildings and ablution blocks.
    • Strictly only one vehicle is allowed per site/cabin.
    • Cabins are to be left clean and tidy with dishes and cookware washed and put away, all rubbish removed and placed in park bins provided. We reserve the right to charge a cleaning fee of up to $50 an hour for cabins left in an unacceptable manner.
    • A maximum of 6 people (maximum of 4 adults) is permitted on each site.
    • All cabin bookings require credit card details as security.
    • Whilst every effort will be made to meet guest requests, we cannot guarantee a specific site/cabin. All requests will be considered on an availability basis.

Guest Behaviour

    • Guests are expected to behave in a manner that is respectful of other visitors.
    • You must at all times comply with park rules and the reasonable requests and directions of staff, including speed restrictions in the park.
    • Noise restrictions apply between 10pm and 8am. Quiet hours are non-negotiable and will be enforced.
    • Guests are not permitted to host parties in the park, unless authorised by park management.
    • Excessive consumption of alcohol will not be tolerated.
    • Management reserves the right to evict patrons from the park who are deemed to be behaving in a socially unacceptable manner, causing damage, disturbing guests, using unacceptable language or are in breach of any other park rules or terms and conditions. You will not be entitled to a refund in that event.
    • Guests will be required to pay for any damage to the Port Germein Caravan Park. Failure to comply may result in the eviction from the park.
    • In the event of an eviction Management reserves the right to engage police if an evicted person does not leave as requested.
    • A call out fee of $50 may apply for Guests that require assistance after hours (hours after 7pm to 9am October – March and 6pm-9am April – September are considered after hours).

Visitors

Visitors are most welcome.

    • Visitors must register at the park office before entering the park.
    • Visitors must be met at reception by an inhouse guest.
    • Guests expecting visitors to arrive outside office hours must make arrangements prior to the close of reception.
    • Visitors must comply with all park rules
    • Visitors to the park are the responsibility of the booked guest and any damages caused will be charged to the guest
    • Visitors are to park off site.
    • Visitors are not permitted to bring pets onsite
    • Visitors must vacate the park by 10pm.

Personal Belongings and Risk

    • You must securely store your belongings.
    • Please lock up accommodation, vehicles, bikes, etc. and remove any valuables when not in attendance and at night.
    • Thoroughly check cabins and amenities on departure as perishable items/open items will be disposed of immediately and non-consumables will only be held for 1 month before being donated to local charities.

Damage/Loss

    • All registered Guests will be liable for any loss or damage to the appliances, furniture, keys, fixtures and fittings in the accommodation – normal wear and tear excluded.
    • Port Germein Caravan Park takes no responsibility for all loss, damage or injury which may be incurred by you or to any of your personal items, including to any vehicles, caravans or motor homes. You release us from any loss, damage or injury you suffer and indemnify us against any loss, damage or injury your party suffers. In these terms and conditions, ‘loss, damage or injury’ means any damage, loss, liability, cost, expense, harm, death or injury.
    • A fee may be charged if excessive cleaning is required after departure.
    • We reserve the right to protect our interests and deter security incidents such as vandalism, unruly behaviour, theft and violence. CCTV cameras may be operated and if operated, will be visible.

Pet Policy

Port Germein Caravan Park is a pet friendly park. To ensure the enjoyment and comfort of all park patrons the Pet Policy must be adhered to by all pet owners. Guests travelling with a pet will be provided with a copy of the Pet Policy on arrival

    • A maximum of 2 pets per site. All pets entering the park must be advised at the time of booking.
    • Pets are permitted in guests own caravan or tent only
    • Pets are strictly prohibited from all Cabins (including verandahs) Park Buildings and Ablution Blocks.
    • Pets must remain on a reasonable length leash no longer than 2 metres and will be controlled and supervised at all times.
    • Pet faeces must be collected, bagged and placed in rubbish bin
    • Guests are personally responsible for any damage or injury their pet causes to other guests, visitors or property at the park.

Fires and Fire Pits

    • Fires or fire pits are not permitted on any site
    • A communal fire pit located in the BBQ area and is available for use outside of fire ban season (generally, 15th April – 1st November, but this can change without notice due to fire dangers).
    • Fire must be kept within the perimeter of the fire pit and no rubbish is to be placed in the fire pit at any time.
    • Please see staff at reception to light fire pit. This will be at the managers discretion due to weather conditions.
    • Guests are responsible for the safe usage of the communal fire pit.
    • Management reserve all rights to have a fire extinguished if it is interfering with surrounding sites.

Bikes/Helmets

    • Bicycles, skateboards, scooters and any other wheeled objects may only be used and ridden in the park during daylight hours. Helmets must be worn at all times.
    • Riding around amenities blocks, the park entrance or reception area is not permitted.
    • Bicycles, skateboards, scooters and any other wheeled objects are ridden at your own risk. We are not liable for any injuries sustained from riding bicycles, skateboards, scooters or any other wheeled objects.

Management reserves the right to amend or alter prices, sites, policies terms and conditions at any time without notice.
